PROGRAM TERMS AND CONDITIONS

The following document provides protection for all participants involved. Please read this document carefully as these conditions outline the basis on which our program will be arranged for you and the terms of mutual obligations.  The applicant hereby agrees as follows:

1.Interpretation

“You” or “Yours” means the participant, applicant.

“We”, “Us”, “Our”, and, “WONE Internship” means WONE Internship.

“Program” means the voluntary work or internship at the organization where you will be volunteering.    You understand that the program enables you to participate in an un-paid internship for a host company.

“Company” means the specific establishment where you will be doing your volunteer work/internship and includes directors, managers, employees, representatives and training. This document applies to all applications made through the program.

2.The Program. By paying the program deposit you agree to bound the following terms and conditions:

  1. The program includes an internship with a host company, assistance with your visa application (basic information), Airport pick-up (if requested), welcome dinner and orientation, accommodation during the program, planned program events and recreational activities, on-line support from our staff.

  2. You agree that if you do not request via email Airport pickup and provide flight information at least one week prior your arrival to your program destination, WONR cannot guarantee an airport pickup.

  3. To process your application for the volunteer work/internship you will be required to submit the application form and resume, you may also be asked to provide general health information and make a deposit of a portion of your program fee in order to proceed with the process.

  4. Every program has a payment deadline, you must pay the deposit prior the deadline, if the deposit is payed after said deadline you will be invoiced for the current Program Fee as of the date you pay the deposit.

  5. Upon confirmation, we will send you a welcome package including acceptance letter, important local information and a parents’ guide.  

  6. We agree to provide accommodation for you from the start of your program until the end date and time listed.

  7. If you wish to make any changes regarding accommodation once it is confirmed we will use our reasonable efforts to make changes, provided we receive your request via email and there is sufficient time to do so.

  8. Both domestic and international flights are not included in the Program fee. You must transport yourself to the Program destination and purchase your own flight tickets. WONE Internship is not responsible for any bookings, damages or costs due to any negligence involving the purchase of your airline tickets. WONE is also not responsible for any costs, refunds, delays or extra charges regarding the airline of your choosing.

  9. Our company will provide contact details on the on-site representatives in the program destination you have chosen for any case of emergencies.

3. Payment and Refund Policies

  1. All payments must be made by the due dates which are specified in your payment plan upon enrollment. If the payment is delayed, we will place an automatic hold on the participants enrollment process until all payments are up to date. A hold status can only be removed once payments are up to date.

  2. Your Program Deposit has the purpose of reserving your position in the program and cover certain related administrative expenses.

  3. The deposit is non-refundable, unless the program has been cancelled by us without the consent of the participant or a refund is decided upon our discretion.

  4. All payments must be made via Paypal, bank transfer or credit card.

  5. If you have paid the full amount of the Program Fee and wish to cancel your enrolment you must address and email to WONE Internship with proof of receipt. Upon receiving the receipt, a refund of 50% of the balance which shall be forfeited will be provided by WONE Internship to you, unless the cancellation request is received by us less than 12 weeks prior the start date of your program, case in which we will not provide a refund.

  6. Any scholarships provided to the participant by us is subject to the same payment terms, conditions and policies.

  7. If you have not approved an internship opportunity, your Program Fee is fully refundable up until two weeks after we have emailed you. NOTE: it is the participants responsibility to check and respond our emails.

  8. If you withdraw from the program for any reason after you have been placed for an internship, other than WONE Internships fail to place you prior your commencement date, you are obligated to pay 100% of your program fee including the value of the scholarship you have received.

  9. WONE Internship cannot be held responsible for any costs incurred in relation to the program by the participant or any other individual.

  10. If we must cancel the program prior to the commencement date for reasons that are not connected to the participant, a full refund of the program fee including the deposit fee will be provided to the participant.

4. Health Insurance

  1. Prior to your arrival you must ensure that you have health insurance coverage for the period of your trip. It should include travel, health, medical and personal liability insurance, including pre-existing medical conditions

  2. You are required to bring all relevant insurance documents with you to the program destination

  3. If you choose to travel without adequate insurance coverage, we will not be liable for any losses, accidents or damages that may incur

  4. WONE Internship is not responsible for the participants health insurance, this is full responsibility of the participant

 

5. Travel Document and VISAS

  1. It is fully the participants responsibility to have a valid document which is acceptable to the immigration authorities of the country of the chosen Program and which will be valid for the duration of and for a period of at least 6 months after the chosen program.

  2. The Participant will be responsible for all visa related fees and the consequences relating to the duration of the visa process. In all cases, failure to obtain a visa (and/or to obtain a visa before your Program’s commence date) is not grounds for a refund of our program.

  3. WONE Internship takes no responsibility for All visa-related matters and expenses.  If you do not obtain a visa, or you elect not to participate in the Program, or you are terminated from the Program for any reason at any time, you agree that you are not entitled to seek any refund for visa expenses.

  4. The participant is also responsible to check that he/she has the correct visa type for the time of stay in the destination country of their chosen program.

  5. You must inform WONE Internship via email any inaccessibility for visa processing and delivery prior to your start date.

  6. In case the visa application is unsuccessful, and the Participant has provided all correct requested documents in addition to the passport, we will refund the balance to the participant, excluding the program fee deposit.

6. Your Responsibility and Commitment to the Program

  1. You hereby agree that you are committed to this program and intend to complete it.

  2. You hereby agree you have chosen to apply for the internship program, you will work for a company based on a schedule as requested by the company and behave as an employee, limited to respect the work hours, execute work, complete daily tasks provided to you, treat the company and your colleagues with respect.

  3. You may not ask the company for time off without a prior written consent from WONE Internship

  4. If you decide to quit the Program or are prevented from further participating by either the company or WONE Internship for any reason, you will not be entitled to any refund, moreover, you understand that we are not responsible for any volume of work, tasks or projects that have been provided to you during the internship by the host company.

  5. It is the participants responsibility to be aware of any national, bank holidays or events in the destination country where you will be doing your internship.

  6. You understand that we are not responsible for any additional workload that you will be provided, this being of low or high volume.

  7. You agree to respect the company’s wishes to sign a Non-disclosure agreement, regardless of this, you agree to respect the company’s confidential intellectual property or/and any other confidential information by the company.

  8. You must always follow the companies code of conduct, dress code and policies. You agree that during this internship you represent the host company as well as WONE Internship and must behave accordingly at all times. You understand that if the failure of this clause may result in the termination of the internship by the company without any notice and there will be no liability for compensation in this situation.

  9. You must leave your accommodation facility in the same conditions as when you arrived. You are fully responsible for any damages and costs of any required repairs occurred during your stay.
  10. WONE Internship is not responsible for the actions of Program participants.

7.Use of photos and media

  1. You hereby grant us permission to use photos, images or testimonials made by you for promotional purposes.

  2. You agree that we may use any means to record your participation in our program and authorize WONE Internship to use any recorded media of you including your image and any testimonials given by you of the program. We may decide to use this in the future without any compensation to you or any permission/consent from you for our promotional material.

8. Waiver and Release

You hereby indemnify WONE Internship against any and all liability, loss, costs or damages that may be incurred as a result of claims or charges made against us, whether at the instance of a third party or yourself, related to any injury, illness, loss, damage, harm or death of a third party or yourself may suffer arising out of your participation on the Program and/or arising out of your participation in any Program-related or non-Program-related activity.

9. Governing Law

  1. These terms and conditions and this agreement shall be governed by, and construed in accordance with, Hong Kong law. Any dispute, controversy or claim arising out of or relating to these terms and conditions or this agreement, including the validity, invalidity, breach or termination thereof, shall be settled by arbitration in Hong Kong under the Hong Kong International Arbitration Centre Administered Arbitration Rules in force when the Notice of Arbitration is submitted in accordance with these Rules. The number of arbitrators shall be one. The arbitration proceedings shall be conducted in English.

  2. You hereby confirm that you have read and fully understand this agreement, intend that this agreement be legally binding upon and enforceable against you and your family, estate, heirs and legal representatives, intend that this agreement benefit us, and confirm that you are at least eighteen (18) years old, or a parent or legal guardian of an applicant under 18, fully competent, and entering into this agreement voluntarily of your own judgment.

  3. You understand that this is a legal document. You have read and understood all of the terms of this agreement and voluntarily with full knowledge of its meaning and significance you sign this agreement.
